Manhattan Chamber of Commerce Event Planning Minutes
255 South State Street, Unit A, Manhattan, IL 60442
July 23, 2019

Present: Kristy Byers, Mary Kay Cooper, Shari Fiocca,Joe Regan and Administrative Assistant Peggy Kraatz

Absent: Donna Bateman Tim McGrath and Kevin Sing

Shari called the meeting to order at 4:00 pm. Due to the Chamber’s air conditioning unit being frozen, the group met in the Museum’s Conference Room. All are encouraged to respond to email requests from Peggy and other board members.

Trivia Night: With four weeks until the August 17 Trivia Night, the go ahead was given with some minor changes. The silent auction will be dropped as well as raffles. Raffle baskets were eliminated due to the shortness of time before the event as well as asking businesses to participate in the Ladies’ Night Out and fireworks donations. Park District approval will be needed to serve beer and wine. A team will consist of six to ten players with a $100 entry fee. Each themed table is to supply their own snacks. The best themed table will get their entry fee back. The trivia professional charges $150.  The event will be from 7-10 pm with setup at 7 and trivia from 7:30-9:30. A 50/50 drawing is still planned. Joe will have flyers ready for Peggy tomorrow. Entry payment can be made at Fitness Premiere. Help will be needed for 50/50, setup, liquor sales and cleanup. Team winners prizes still need to be discussed.

Labor Day fireworks: Total collected thus far is $2725 in donations plus $1000 from last year. Local 9 Electricians Union gave $300, the same as last year. Joe will check with Jay about a Taco Truck being in Central Park before the fireworks. Whitmore Ace started their fireworks round up several days later than anticipated.

Labor Day Parade: Peggy has a sound system that she will test out and use for the parade. Her husband is putting together super-hero themed music to play before the event. Joe and Kristy will supervise the blocks where their business entry is located. Mary Kay and her husband Dale will each take a street. Peggy will be at the start of the parade to signal its start and tell entries when to stop for a band’s entry. Yellow t-shirts will be given out at the August 13 meeting. Ron Pacheco will be the announcer again. Three Garden Club members will judge the parade. John Kiefner will bring his hayrack for the judges and MC. Grand Marshall is Kevin Molloy’s State Farm team. All helpers will meet Peggy at 10 am in front of Anna McDonald School. She will decorate the hayrack and set up the sound system before then. Peggy has the map ready to go.

HomeStar: will officially close in October. There will be no Midland branch in Manhattan. HomeStar wanted their banner now as it will be taken down by the Village and new banners will be put up. Since the next nearest branch will be in Kankakee, we might want to consider moving the Chamber’s account to one of the other two local banks.

LC Chiropractic: In celebrating their one-year anniversary in Manhattan in August, they would like to advertise that money raised during the event would go to support the fireworks fund. Since their flyer was not submitted to Peggy, little is known about the event. The group liked additional money being put towards fireworks.

Ladies Night Out: The group reviewed Peggy’s sample flyer. The best place to host the event would be Central Park’s main pavilion. A rain date then would not be needed. There would be ample parking. Joe would like to also have the Sept. 18th Networking Event as usual on that day. The Grand Prize supplied by the Chamber would be $200 cash instead of a $250 Southwest Gift Card. Businesses could bring their own table or use the picnic tables in the shelter. Each business will hold its own raffle for a $50 gift basket.

Board positions: Joe, Kevin, Donna and Laura’s positions will expire next year. Peggy will put out a letter asking membership if anyone wants to run. Those, whose term expires, but would like to continue on the board need to submit a letter either via snail mail or email to the chamber.

The next regular meeting is August 13, 2019. Time to be determined.

Respectfully submitted,
Mary Kay Cooper, secretary
